Introduction
These guidelines provide a comprehensive overview of the recommended standard computer bundle for academic affairs departments. Additionally, the guidelines outline the step by step process for requesting alternative configurations when departments have specialized software, or alternate needs that fall outside the standard bundle.

Eligibility for Funding
Academic Affairs provides computer replacement funding for eligible faculty and staff within departments and units of the following colleges. Please review the Computer Replacement Guidelines for full eligibility requirements.
- Bailey College of Engineering and Technology
- Bayh College of Education
- College of Arts and Sciences
- College of Health and Human Services
- Honors College
- Scott College of Business
One Device Per User Policy
To ensure fair resource distribution and streamlined support:
- Academic Affairs will fund one primary computing device per eligible employee.
- Any secondary devices (e.g., tablets, desktops, or a second laptop) must be funded by the department.
Standard Equipment Bundle
Eligible faculty and staff in academic departments will receive the following standard bundle:
- Microsoft Surface Laptop 8 or Apple MacBook Air M5 13 in
- Kensington Triple Display SD4760P
This bundle is selected to meet general computing needs while ensuring consistency and ease of support across the university.
Additional Equipment for New Hires
All newly hired full-time faculty, and staff in newly established positions, are also eligible for:
- One 24-inch Monitor
- Wired Mouse
- Wired Keyboard
These accessories support a productive and efficient initial setup.
Upgrades and Additional Accessories
Academic Affairs will fund up to the cost of the standard device bundle, which is $1,735. If a higher-spec device or additional accessories are required, any costs exceeding this amount must be covered by the department. Customization for items of lower quality than the standard package is not permitted. Unused funds from one package cannot be applied to other purchases.
