Introduction:
This article provides information on the computer replacement guidelines that the Office of Information Technology (OIT) follows. Academic Affairs provides funding for academic department computers and there are unique guidelines for those areas.
All departments and units in the following colleges qualify for Academic Affairs Funding:
Bailey College of Engineering and Technology
Bayh College of Education
College of Arts and Sciences
College of Health and Human Services
Honors College
Scott College of Business
Units not listed above that are in Academic Affairs do not qualify for funding referenced above.
Computer Replacement Guidelines:
Academic Affairs Funding Departments and Units: all full time faculty and staff – Primary Device
New Position, New Hire, Refresh/Replacement (current device is not adequate) – A device will be provided by Academic Affairs. If a suitable device is not in stock, a new device will be purchased with funds from Academic Affairs.
Refresh/Replace Working Device – Devices that are still suitable for the position will not be replaced.
Required Peripherals (monitor, wired keyboard/mouse, dock) – Will be refreshed using funds from Academic Affairs if the existing equipment is older than 6 years.
Additional Peripherals – Any peripheral request beyond the “required peripheral" conditions can be purchased using departmental funds.
Academic Affairs Funding Departments and Units: individuals other than full-time faculty and staff
New Position, New Hire, Refresh/Replacement (current device is not adequate) – If a used device is available, it will be provided. If there is no used device available, but there is one in the Academic Affairs stock, it will be provided. If neither is available, the department must pay for a new device.
Refresh/Replace Working Device – Devices that are still suitable for the position will not be replaced.
Required Peripherals (monitor, wired keyboard/mouse, dock) – Will be provided if there are used peripherals available in the OIT pool. If no equipment is available, it may be purchased using departmental funds.
Additional Peripherals – Any peripheral request beyond the “required peripheral" conditions can be purchased using departmental funds.
Academic Affairs Funding Departments and Units: graduate assistants and student workers
New Position, New Hire, Refresh/Replacement (current device is not adequate) – If a used device is available, it will be provided. If not, the department should upgrade an eligible device of existing faculty or staff, and the old device can be given to the student employee. The replaced device must still be supported for it to be redistributed.
Refresh/Replace Working Device – Devices that are still suitable for the position will not be replaced.
Required Peripherals (monitor, wired keyboard/mouse, dock) – Will be provided if there are used peripherals available in the OIT pool. If no equipment is available, it may be purchased using departmental funds.
Additional Peripherals – Any peripheral request beyond the “required peripheral" conditions can be purchased using departmental funds.
Academic Affairs Funding Departments and Units: any non-primary device
Academic departments may use departmental funds to purchase non-essential computer equipment.
Academic Affairs Funding Departments and Units computer labs or multiple-person use spaces: all devices
All new or refresh equipment in labs or spaces that are used by multiple individuals (i.e. not machines or equipment assigned to individuals) will be handled on a case-by-case basis.
Non-Academic Affairs Funding Departments and Units: all employees
Computers returned to OIT from non-academic departments will be kept for future use by that department as long as they are still supported. If there is no stored equipment, the department can use their own funds to purchase computers or accessories.
Emeriti
Computers and accessories are not provided to emeriti.
Conclusion
