Introduction - Perceptive Content - Document imaging system

Perceptive Content is the software that is used to store virtual copies of documents by various departments at Indiana State University.  Some documents are for the department’s internal use only and some documents are shared across the university by several departments.

User Access

If your department uses Perceptive Content and you need an ID to use it, the security officer for your area will put in a help desk ticket to create the access for your ID. 

If you need access to another department’s documents, please submit a request and the responsible departments will review the request and determine if it can be approved. 

The departments that currently share documents from Perceptive Content are:

  1. Admissions
  2. Financial Aid
  3. Graduate Studies
  4. Registration and Records.

Once you have submitted your access request it will be sent to the appropriate user office(s) to be reviewed. If approved, the request will be processed by OIT and the account will be created. If the request is not approved you will be notified.

Definitions

Documents - any type of document that has been imported into Perceptive Content. These can have various formats such as PDF, Word, tiff, etc.

Views - views are the way documents are organized and presented to the end users. Generally views will limit the documents presented to a specific department.

Drawer - specifies the department that owns the document

Field1 - used to store the University ID associated with the document

Field2 - used to store the name of the entity associated with the document

Type - defines what type of document is stored, i.e. transcript, travel authorization, employment application, etc.

Custom Properties - some departments need additional data fields associated with certain documents. These additional fields may be displayed in the view.

Steps

How To Log In

To use the web viewer, log in to the following location using any web browser.

Please use your university email and password to log into Perceptive Content.

Once logged in, select "Documents" to view documents uploaded to Perceptive Content.

The documents that you have been given access to will show under Document views on the left.

How to View a Document

  1. Select the view for the documents needed if your default is not the documents you need to view.
  2. To find the specific document, enter the values of the document in the Quick Search Tab
  • ID (Field1) = This is usually associated with the university id of a student or staff (99#)
  • IS equal to – if you know the university id of a student/staff, leave this as is
  • Blank box, this is where you actually type the university ID in and then click the Green Go arrow or Search button at the far right of the search field.

  1. This will bring up any documents that you have permission to view for this person.
  2. To view a specific document, double click on one of the images listed below the quick search field.
  3. This will open the document viewer. Please note at the bottom of the page, arrows and a page count indicating if there is more than one page of this document. Use the arrows to navigate through all the pages for this image.If you click the arrow by the page number at the bottom of the page you can also navigate by clicking on a specific page number out of the list that comes up.
  4. You can enlarge the document by using the Green Magnifier icon on the toolbar at the top of the document.
  5. The scroll bar on the right side of the document can be used to scroll up and down the page you are viewing.

Exporting, Emailing, Printing

  1. You can export a document by using the export button on the toolbar at the top. If you click the export Icon and export box will open.Choose the location of where you would like to save your document (desktop) and a copy of the document will be created. Close out of the viewer to go back to the page that lists all the documents.
  2. You can also print a document if you need to. Use the print button on the toolbar at the top of the page. A printer options box will come up and once you hit OK the printer location box will come up. Select the printer that you want to print the document from and hit ok.
  3. You can also email a document. Use the email icon in the toolbar (white envelope with blue trim) The email options box will come up, enter the email that you want to mail the image to, then click OK.

Please keep in mind all FERPA regulations that must be followed when printing or emailing a document to someone else.

Other points of Interest

Once you have a list of documents in the Quick Search area you can expand, shrink or rearrange the headers in the header row. 

  1. Expand or Shrink columns: put your mouse between the headers, when you get a double headed arrow, drag to the right or left depending on whether you want to increase or shrink that column.
  2. Move columns: If you want to move a column to a different place, click on the column that you want to move, hold your mouse button down and drag the column to where you would like it to be.

The changes will only stay for the session that you are in.  You can save a private filter to preserve your changes.  You will find the private filters you create under the view in the left-hand pane. You will have to select the private filter after opening the Document viewer.

Sorting documents

You can sort the documents by clicking on the header column that you want to sort by.  A small gray arrow will appear in the header column letting you know if it is sorted in ascending for descending order. To sort by additional columns, hold the SHIFT key and select the additional column(s). To remove all sorting, right-click a column heading and select Reset Sort Order.

To log out of Perceptive Content close the document viewer and select Connect from the Perceptive Content toolbar. Select Disconnect.
