Graduate Assistant (GA), Student Worker, and Lecture Device Guidelines

Introduction

Graduate Assistants (GAs), Student Workers, and Lectures play a vital role in supporting academic and administrative functions across the university. To ensure clarity and consistency in device usage and support, this guideline outlines expectations for personal and university-issued devices, printing access, and departmental responsibilities.

Guideline Details

General Use

  • GAs, Student Workers, and Lectures are expected to use personal devices for tasks involving cloud-based platforms.
  • Teaching-related activities such as accessing Outlook and Canvas may be performed on personal devices.
  • University data should not be downloaded to a personal device.
  • If a Graduate Assistant (GA) or Student Worker requires access to a printer, departmental approval must be obtained before installation. The department is also responsible for ensuring the printer is removed from the GA’s or Student Worker’s personal device once their employment with the department ends.

Device Responsibility

  • If a personal device becomes damaged or malfunctions, the student is responsible for repair or replacement.

University-Issued Devices

  • GAs, Student Workers, and Lectures may be issued a university-owned device only if their role requires access to licensed applications (e.g., Perceptive Content, Adobe Acrobat, VPN).
  • Requests for university-issued devices must be initiated by the department and justified based on software requirements.
  • Pool (free-of-charge, used) computers will be issued if available. However, availability is severely limited and departments should expect to purchase these devices from departmental funds.

Conclusion

This guideline ensures that Graduate Assistants, Student Workers, and Lectures have the tools they need while maintaining responsible use of university resources. Departments should assess GA and Student Worker needs carefully and coordinate device provisioning and support accordingly.
