Introduction

Graduate Assistants (GAs) play a vital role in supporting academic and administrative functions across the university. To ensure clarity and consistency in device usage and support, this guideline outlines expectations for personal and university-issued devices, printing access, and departmental responsibilities.

Guideline Details

General Use

  • GAs are expected to use personal devices for tasks involving cloud-based platforms.
  • Teaching-related activities such as accessing Outlook and Canvas may be performed on personal devices.
  • University data should not be downloaded to a personal device.
  • If a Graduate Assistant requires printer access, departmental approval must be obtained prior to installation. The department is responsible for ensuring the printer is removed from the GA’s personal device once the GA is no longer employed within that department.

Device Responsibility

  • If a personal device becomes damaged or malfunctions, the student is responsible for repair or replacement.

University-Issued Devices

  • GAs may be issued a university-owned device only if their role requires access to licensed applications (e.g., Perceptive Content, Adobe Acrobat, VPN).
  • Requests for university-issued devices must be initiated by the department and justified based on software requirements.
  • Pool (free-of-charge, used) computers will be issued if available. However, availability is severely limited and departments should expect to purchase these devices from departmental funds.
