Non-Academic Affairs Computer Replacement Guidelines

Introduction

These guidelines provide a comprehensive overview of the recommended standard computer bundle for non-academic departments. Additionally, the guidelines outline the step by step process for requesting alternative configurations when departments have specialized software, or alternate needs that fall outside the standard bundle.

Non-Academic Affairs Computer Replacement Guidelines

Recommended Standard Bundle

The Office of Information Technology recommends that non-academic departments adopt the following standard computer bundle to promote consistency, compatibility, and ease of support across the university:

  • Microsoft Surface Laptop 7 or Apple MacBook Air M4 13 in
  • USB-C Hub with Ethernet

This configuration is designed to meet the general computing needs of most university staff while supporting a streamlined and efficient IT support model.

What’s a USB-C Hub?

This is a compact device that connects to the laptop’s USB-C port and expands its connectivity options. It typically includes:

  • Ethernet port for a stable, wired Internet connection
  • USB-A ports for connecting traditional USB devices like flash drives or printers
  • HDMI or DisplayPort for connecting to external monitors
  • SD card reader (in some models) for accessing media from cameras or other devices

This hub ensures that users can connect to essential peripherals and networks, especially in office or classroom environments where wired connections are preferred for reliability and speed.

Consultation for Alternative Needs

If the recommended standard bundle does not meet the specific needs of a department — such as requirements for specialized software, enhanced performance, or other operational considerations — departments should first consult the Computer and Accessories Catalog. The catalog includes a range of pre-approved, non-standard options that may already meet those specialized needs. 

If the required customization is not listed in the catalog, departments must then submit an OIT Consultation Form. This ensures that OIT can review the department’s unique technical requirements, provide tailored hardware or software recommendations, and confirm compatibility with university systems and support infrastructure. 

Through this process, OIT will: 

  • Review the department’s unique technical requirements 
  • Provide tailored hardware or software recommendations 
  • Ensure compatibility with university systems and support infrastructure 

Departments must initiate this process prior to making any non-standard technology computer purchases to ensure alignment with Indiana State University's IT guidelines and support capabilities. Please note that if this process is not completed prior to a non-standard purchase, the device may be deemed unsupportable, and OIT will only be able to offer ‘best-effort' support. 

Warranty and Repair Responsibility 

Departments can elect not to purchase a warranty; however, in the event of computer damage, the cost of any non-warranty repair or replacement will be billed to the department. While OIT can assist with vendor coordination and provide technical guidance, financial responsibility for out-of-warranty issues remains with the department.
