How to Gain Access to Student Manager (Aceware)

Introduction

Student Manager is a registration management system primarily used by University Engagement and Extended Learning. It is used to register non-University enrollees into non-academic courses and conferences hosted by the University.  This article is intended to aid end users in gaining access to the Student Manager application.

Special Concepts

New user of Student Manager

If the end-user has never used Student Manager before, they will need to have access given to the server that runs the application.  This requires approval from OIT and a request ticket will need to be submitted. Follow the Steps to request access to Student Manager section.

Existing user of Student Manager who received a new or reimaged PC

If the end-user has access to use Student Manager, but they had to have their PC reimaged, or they received a new PC, their IP address may have changed.  First, attempt to create the desktop shortcut (step 5 below).  If unable to create the shortcut, this means the IP address has changed. Follow the Steps to request access to Student Manager section.

If the end-user has access to use Student Manager, but has lost the shortcut to the application, no approval from OIT is needed.  The end-user simply needs to recreate their desktop shortcut.  See step 5 of the Steps to request access to Student Manager section for instructions on creating the desktop shortcut.

 

Steps to request access to Student Manager

These steps begin with the process to gain required access to the application server for Student Manager. When requesting access, all tickets should be submitted by the supervisor.  If the user already has access to Student Manager and just needs the desktop icon, please skip to step 5.

  1. Determine the IP address of the PC. Only IP addresses from wired connections will be allowed. If the IP address is obtained when the PC/laptop is on the wireless network, access will not be granted. You can find your IP address by going to Google.com and typing "What's my IP" in the search.
  2. Record the IP address as it will be used in the ticket request.
  3. Supervisor should contact the Help Desk at ext. 2910 to have the ticket submitted. Supervisor will need to have the employee's name, University ID, University Logon ID, and IP address.
  4. Once all the access has been completed the user's supervisor will need to add them to the Student Manager application.
  5. Create a desktop shortcut to the application.
    1. Open file explorer (a.k.a. My Computer or This PC)
    2. Right-click in the address bar (highlighted in yellow below):
  1.  3. Edit address. Type (or paste) in \\isu-aceapp-001.isuad.indstate.edu\manager7 and you should see the files on the server (if it times out then you do not have access to the server. If your supervisor received notification that your access has been granted report this issue to the Help Desk)
    4. Scroll down to sm8.exe – right click it. Choose ‘send to’ and then ‘desktop (as shortcut)’.
