Computer Equipment for Return

Introduction

This article is to be used to clarify the procedure on what the Department is supposed to do with the computer equipment when a Faculty or Staff employee leaves the Department or separates from the University.

Employee leaves the department or Separates from the University

Consultant schedules the separation checklist.  Before going over, check to see if other computers or devices are assigned to that person.   This is done so you can ask the employee where the equipment needs reassigned or to be turned into the TSC.  To do this – Look up the employee's profile and click on the Asset Tab.  This will show what computer equipment the employee owns.

During this process, the consultant should schedule a pickup time of the laptop and other IT equipment if this is scheduled before their last day.

Determine if Department purchased computer

Step 1.  Need to determine if the department is replacing the position and a new machine is not being purchased.

Step 2.  Upon request, the machine can be held in the TSC until new employee is hired.

If TSC is holding for new hire, Pick up machine to be held at the TSC.  Please record in the notes section of inventory, “holding for new hire” and "that all other equipment is being left in the Department's Office."  Also update owner of laptop to the Admin’s name.  This way they can request the computer for their new employee and the Department can note the property tag of the computer that is being held by OIT.

If Department did not purchase computer(this is pool machine) or employee position is not being replaced, computer needs to be returned to the TSC.

Step 1. Pick up computer equipment

Step 2. Take back to TSC

Step 3. Computer is put in Holding for 2 weeks

Step 4. Computer is wiped

Step 5. Computer goes back into OIT inventory
