Workstation Procurement Standards

Summary

ISU promotes the purchase and support of faculty and staff computers with standard configurations. Using standard computers promotes the consistency and effectiveness of use in most cases. Non-standard purchases will be made following a review and approval process, with appropriate reporting of these exceptions.

Body

Purpose

The purpose of this standard is to ensure that ISU faculty and staff have computing equipment that is adequate to perform their job functions, while also managing the total cost of ownership for computers from all aspects (purchase, support, maintenance).

Application

This standard applies to all faculty and staff at ISU.

Exceptions

The following constitute exceptions to standards.

  1. Purchase of more than one computer for an individual
  2. Purchase of a new computer without the return of the computer(s) presently assigned to an individual after the installation of the new computer
  3. Purchase of any computer except a standard computer
  4. Purchase of a special purpose computer, i.e., not assigned to a single staff member
  5. Replacement of a machine that is less than five (5) years old.

Exceptions will be processed as part of the computer acquisition or upgrade process.

Approval of Exceptions

Human Resources approves:

Medical exceptions must be approved by letter from Human Resources.  A copy of this letter should be filed with OIT during the computer acquisition process. 

Dean/AVP approves:

  1. Purchase of more than one computer for an individual
  2. Purchase of a new computer without the return of the computer(s) presently assigned to an individual after the installation of the new computer
  3. Purchase of any computer except a standard computer
  4. Purchase of a special purpose computer, i.e., not assigned to a single staff member
  5. Replacement of a machine that is less than five (5) years old.

Unit Head or Department Chair approves:

Standards

  1. Faculty and staff will receive one new computer as a primary work device based on criteria located in the KB article at Article - Academic Affairs Faculty an... (teamdynamix.com)
  2. The standard is for faculty and staff as much as possible to have one and only one computer.
  3. Standards for computers (PC/Windows and Mac) will be identified each year by OIT and Purchasing, with input from campus constituents.  Standard models are identified within the service request for computer acquisition: https://indstate.teamdynamix.com/TDClient/1851/Portal/Requests/ServiceCatalog?CategoryID=11386
  4. Purchase of an upgraded computer must be reviewed by OIT and approved by the department chair or unit head.
  5. Purchase of a non-standard computer must be approved by the Dean, AVP or VP level. Such purchases will not be paid for by OIT.
  6. Standard and upgraded computers will be supported by OIT.  Support includes hardware repair.
  7. Non-standard computers will have limited support:
    1. Best-effort basis, which is dependent in part on other support priorities at the time support is requested; knowledge and capability of OIT staff; and/or spare part availability
    2. Spare parts will not be stocked for non-standard computers
